Job title: Administrative Assistant
Location: Staines-upon-Thames - England
Significance & Description: The role is significant and crucial requiring high commitment to expand and manage the daily operations of the business in UK. The administrative assistant will partner with the business owners for setting up of business operations, managing all business paperwork. The individual must look at adding systems that are strong, reliable, and agile to meet the current and future business needs. They will co-ordinate with vendors, ensure payments and proof thereof, for taxes etc.
Coordinate & communicate with other team members (locally or internationally) to get the job done, interact with government and other offices, vendor management, consultants, etc. The office administrator is crucial to effective and efficient day-to-day operations of the company. He/ she will multi-task to support the organization in a variety of ways including book-keeping, communications, scheduling, data entry, secretarial services and more.
Key Accountabilities
• Coordinate all company and office work with other business partners, government, and regional authorities, etc.
• Setting up Standard Operating Procedures (SOP) for smooth functioning of day-to-day operations
• Support clerical or other administrative tasks.
• Maintains all soft copy and hard copy files as needed.
• Organizing, arranging, and coordinating events, meetings, travel arrangements, etc
• Co-ordinate with the India team as and when required.
• Maintain book-keeping, record of incoming invoices, payments, statutory payments, etc
• Maintain record for all contracts with vendors, understanding the terms and safeguarding the business.
• Sourcing vendors, negotiate deals where required, scrutinize rates and fees from vendors, contractors, on-going associations, always ensuring the business is being fairly dealt with.
• Versatile in handling employee paperwork, working knowledge of employee work contracts, benefits, payroll, etc.
• Maintaining a clean, hygienic, elite workspace, that represents the company well. Creates a healthy and enjoyable working environment. Is excellent in logistics & facility handling.
• Manage external or internal communication.
Personal Qualifications & Skillset
• Bachelor's degree or equivalent experience
• Proficient in Microsoft Office suite
• Excellent communication, influencing & negotiation skills
• Excellent organizational skills, starting from scratch and building systems
• Multi-tasker
• An ability to remain calm under extreme pressure
• Is a team player, keeping the goal of the organization at the centre of all work
• Shows initiative to make progressive changes
• Works with minimal supervision
• Is time-bound and efficient, driven to succeed seen through promptness in execution with results
• A can-do positive attitude
• Ability & willingness to stretch when needed.
• Willing to travel for business reasons
• Knowledge of Portuguese is an advantage.
• Working knowledge of UK / European business & employee laws is an advantage.
